Role Objective:
• The Head of Facilities shall be the main point of contact in relation to general services and facilities maintenance activities of the Administration Services Department in order to support the mission and vision of UDC.


Key Accountabilities:


General Services
• Leads the preparation of the Annual Budget for the Administration Services Department.
• Oversees the implementation of related policies and procedures related to Administration Services.
• Evaluates and reviews contract proposals and ensures adherence to budgets and service level agreements.
• Monitors section staff performance management, appraisal, training and development planning.
• Analyses reports on all work activities and maintain an archive of all Admin documentation, including quotations, quotation comparisons, contracts, invoices, delivery notes, license agreements, etc.
• Ensures that support services and personnel are available for the day-to-day running of the offices within the company.
• Ensures the appropriate management of company assets and facilities, including vehicles and miscellaneous equipment.
• Approves/processes Purchase Requisitions that are entered in the Oracle system for the General Services Section.
• Oversees periodic Office and Supplies Inventories.
• Ensures all service requests related to Administration Services are handled and resolved within the required time frame.
• Ensures the administration functionality of the section operations of TPQ so that resources are in place to support the over-all company strategy.


Facilities Maintenance
• Oversees facility management, support services and archiving of UDC documents and files.
• Oversees maintenance, testing and inspection of UDC facilities in order to ensure they are operation safely and efficiently.
• Oversees the monitoring the renewal of UDC’s insurance policies.
• Manages existing service contracts (e.g. flower arrangements, maintenance, lease etc.) in coordination with the general services section.
• Maintains good relations with service providers in order to ensure uninterrupted services are afforded UDC at maximum optimal costs.
• Ensures safety of master keys to all Departments and Offices of UDC.
• Manages the mail delivery and handling between UDC and site offices.
• Supervises the cleanliness and orderliness of all UDC offices.
• Manages the allocation of parking slots to employees
• Attends to VIP guests of UDC.
• Supervises outsourced staff, if any.
• Conducts and implements emergency preparedness and business continuity activities for UDC.
• Supports environmental awareness programs of the company.
• Controls and manages safety related issues.
• Carries out and perform other related duties as specified and when required and assigned by the line Manager to improve or enhance the efficiency of department work and performance.
