Assists the Front Office Manager in administering Front Office functions and supervising staff on a daily basis. Front Office areas include Bell/Door Staff, Switchboard and Guest Services/Front Desk. Position directs and works with managers and employees to carry out procedures ensuring an efficient check in and check out process. Ensures guest and employee satisfaction and maximizes the financial performance of the department.
Represents property management in resolving any guest or property related situation. Personally assisting in resolving any issues and completing tasks. Handle escalated calls from representatives, perform the “Closed Loop” concept and act as an intermediary between customers and hotels when resolving issues. Focus on ensuring the timely resolution of reported customer issues.
Process all payment types such as room charges, cash, checks, debit, or credit. Process adjustment vouchers, paid-outs, correction vouchers, and miscellaneous charges. Print contingency lists to have a record of all guests in case of emergency. Complete the Room Rate Variance Report.
Assist management in hiring, training, scheduling, evaluating, counseling, disciplining, and motivating and coaching employees; and serve as a role model and first point of contact of the Guarantee of Fair Treatment/Open Door Policy process. Provide assistance to coworkers, ensuring they understand their tasks. Follow all company policies and procedures, ensure uniform and personal appearance is clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests’ service needs; assist individuals with disabilities; and thank guests with genuine appreciation. Answer guest questions regarding property services/features and hours of operation. Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested.
