Admin Officer - DicoTech Qatar WLL

We are looking for an Admin officer who have worked with construction industry and familiar with all administrative activities.


Job Responsibilities:



• Maintains office and all allied premises in good working conditions
• Manages office equipment, fixtures and other fixed assets at company premises
• Maintains official records and documents in safe custody
• Assists with preparation of the budget
• Maintain and Update Company's Master list of Employees
• Document and follow-up of Various Visas (Tourist Visa, Business Visit Visa, Work Visa, Family Visit Visa and Family Residence Visa, etc.)
• Arranging New and Renewal of Employees Residence Permits
• Maintain and update rental and lease agreements List for Office and accommodations and follow-up for its renewals
• Maintain and update Company's Vehicle Master List and follow-up for renewal of Vehicle License and Vehicle Insurance
• Weekly checking of Traffic fine
• Handles employee queries and ensures that they are addressed thru either self or others
• Assists managers to help implement administrative policies and procedures
• Attends to complaints and issues at labor camp
• Arranging New Employee Medical Test, Blood Group, Employee Pictures and Finger Print procedure, etc
• Prepare Employment Contracts in English and Arabic with PRO, and maintain valid employment contracts for all employees.
• Process Employees Leaves, Final Exits, Employee Clearance form, extended leave declaration form and arranging exit permit and maintain leave records for all employees.
• Process Employees Workmen Compensation Insurance, monthly updates, regularization of claims for work related accidents, credit notes and certification of insurance invoices, etc.
• Prepare Admin fund request for Credit Card and settlement of funds on monthly basis.
• Handle daily and monthly attendance for Head office
• Prepare Staff and JV staff payroll
• Handling complete paper work of Public Relations Officer (PRO)
• Workers Recruitment/documentation from overseas countries
• Maintain and update all Company's Insurance Master List and follow-up
• Arranging New and Renewal of Employees Health Cards (Staff and Workers)
• Reimbursement claim sign and forward to finance
• Admin Department Induction to new joinees
• Drivers management
• Help improve front-desk services
• Assist in developing training programs for drivers, office boys and other support staff
• Organizes and facilitates meetings, conferences, and other special events
• Enhance knowledge on topics related to individual work area as well as on company’s business area by self-learning.
• Prepare case study on lessons learnt for Organization Knowledge database
