• Study the data, drawings and information obtained from Sales Manager, Project Manager, site visits and analyzes it using standard methods of calculations, considers aspects of time, technology, manpower, material and processes and arrives at volume of work and competitive and accurate cost for the job/tender.
• Prepare the contract summary document
• Prepare Job Cards based on job contract to reflect right quantities and expenses to be executed by Operations
• Conduct a risk assessment and identifies what risks require mitigation to an acceptable level either by cost or qualification
• Prepare the final submission document that clearly cites the proposed technical and commercial solution and the benefits of the proposal
• Prepare invoices in a timely and accurate manner as per the contract requirements and supported by all relevant documents
• Keep track of any variations to the contract that may affect costs
• Maintain updated record of pricing standards for all items for estimations, including through job-tracking reports
• Accurately know and apply knowledge of consumables to be spent on each item under the scope of work
• Assist sales by designing & presenting technical solutions to clients
• Assist sales including jobs follow ups, negotiations and closing, as acting sales manager
• Provide clarifications and explanations on BOQs to the client
• Identify job variation for confirmation or renegotiation by the client
• Maintain good working relations with customers and suppliers to exchange relevant information in a timely and accurate manner
• Assist management in financial decision making for signing up for a project
• Follow up for timely certification with Client QS
• Conduct site inspections as necessary
• Coordinate with client QS to clarify any issues related to invoicing and resolve conflicts there in with help of colleagues
• Assist operations in conducting successful mock up and demos with client
Tendering
• Review and manage the customers enquiry process
into a commercial workable solution
• Submit a detailed response to the enquiry documentation and provide answers / responses to any subsequent requests for clarification
• Act as the company's internal contact point for the customer during the enquiry and bidding process
• Attend resultant calls for negotiations with the customer and convert those opportunities into purchase orders
• Study and update self on the technical specifications of the products/services and application procedures related to the job contract thru class room training and self-learning
• Undertake regular site visits to learn the new and ongoing work scopes technically and financially. Study the site conditions and productivity parameters to accurately estimate the jobs
• Assess cost effectiveness of the projects, tracking actual costs relative to bids as project develops and adopts learning into the next estimations and bids
• Train project managers and sales managers on the estimation parameters and obtain their inputs to improve the accuracy in estimations
• Prepare case studies of estimated versus actual work to improve standard method of calculations and help train other
• Learn each client’s procedural requirements for invoicing and adhere to them to avoid payment delays
• Develop better and faster ways of completing estimations, quotations and invoices
• Coordinate between estimations department and other departments for developmental activities and projects
