Duties and Responsibilities
• New Clients On-Boarding
o Initiating the on-boarding process of new clients at CDC within 72 hours of their initial consultation.
o Filing of relevant information (medical and otherwise as provided) for document control purposes, as part of the on-boarding process.
o Ensuring the scheduling system is updated with all required information, notes and contact details of new children.
o Acting as a liaison between the parents of the child and assigned therapy teams/departments for non-clinical communication in an effort to support the clinical team.
This includes, but is not limited to: assistance with scheduling/rescheduling sessions, assistance with clinical filing as needed etc.
• Existing Client Management
o Managing and handling of the client portfolio at CDC which includes ensuring data and information accuracy contained in the scheduling system.
o Responsible for bookings, rescheduling and handling of the scheduling system software to ensure streamlining of service delivery to clients, whether due to staff cancellations or client cancellations.
o Responsible for tracking staff availability and room distribution to conduct therapy sessions as scheduled.
o Following strict communication protocols to prevent miscommunication, misinformation and other communication roadblocks between Clinical/Operations Departments and clients.
• Conflict Management and Resolution
o Responsible for the effective management and resolution of conflicts.
o Responsible for applying discretion and sound judgment on the escalation of unresolved matters to Clinical or Operations Departments as required.
o Following up with clients after resolution has been delivered to assess client satisfaction levels.
• Operational Responsibilities
o Ensuring that all children’s files are maintained in an orderly fashion with the most up-to date information.
o Tracking the filing system electronically in terms of existing children on programs, discharged children, re-admissions etc.
o Ensuring that all files are documented in line with key protocols as per Clinical and Operational guidelines as applicable – e.g., clinical notes and sign offs as required, operations justifications as and when required (case specific) etc.
o Tracking the protocol for delivery of progress reports to clients, ensuring copies of all documentation are kept at CDC as appropriate and in line with established protocols.
o Ensuring that all therapist bookings are done in line with policies and guidelines on daily billable hours to maximize revenue.
o Following up with clients on payments on behalf of the Accounting Department when needed.
• General
o Implement all safety and emergency procedures as instructed by CDC.
o Show a positive and supportive attitude toward CDC and its policies.
o Accept and utilize feedback from staff and supervisor(s).
o Communicate clearly and effectively with staff, particularly in performance evaluations.
o Demonstrate tact, empathy and a professional approach to internal/external conflicts or disputes which may arise during the course of business.
o Collaborative, team working and proactive attitude towards the development and implementation of best practices.
o Behave respectfully and sensitively to cultural and religious norms and values at all times.
o Communicate in a professional and respectful manner with parents, therapists and other team members.
o Establish and maintain cooperative relationships within a multidisciplinary team
o Present oneself in a polished, professional demeanor at all times.
