- Administer and control the Petty Cash of the Administration while handling passport and contract control in compliance with Government and Group policies and regulations.


- Oversee the handling of the Petty Cash for Administration Section in order to ensure the timely reimbursement and refunds of Government Relations and Administration’s expenses in delivering its services.


- Monitor and control the Group Employee’s passports to ensure its security and control within the defined Administration process and standards.


- Prepare Administrative reports on Passport and Resident permit to timely inform the respective Divisional representatives and its employees for their action.


- Carry out the reimbursement of all relevant expenses submitted by the GRO and Admin team to ensure the timely and accurate return of their personal funds.


- Ensure that the employee or their divisional representative provides the correctly filled form, approved by the respective Division Head, before temporarily or permanently releasing the passport. 


- Prepare reports, in a monthly basis, on expiring Resident Permits by Division for submission to the concerned Division Heads and their administrative representatives.


- Ensure that the employee signs for the receipt of the passport and that the passport copy is included in the form before it is filed in the respective Employee’s record.


- Regularly check the HRMS system for any Exit or Cancellation Permit requests in order to prepare and submit the passport with the copy of the request to the Admin Officer - Front Desk for proper processing.


- Carry out top off of the Petty Cash with Group Finance, when it reaches the minimum threshold level, to ensure continuous availability of funds for present and future reimbursements.


- Ensure the availability of all relevant documents, receipts, transactions in the Top off report to prevent any disapproval or delays from the issuance of funds.


- Provide the necessary support to the Admin Team to ensure the delivery of the Section’s targets and objectives.
