POSITION PURPOSE


 To provide effective, courteous and timely telephonic services.
 To handle visitor’s preliminary queries and guide them to the relevant personnel.
 To perform clerical duties.


ACCOUNTABILITY


 For greeting and guiding visitors and answering any preliminary queries.
 Answering telephone calls, relaying message to staff and connecting outgoing international calls as required.


Essential Functions/Responsibilities


1. Responsible for greeting and guiding visitors, answering telephone calls, relaying messages and connecting outgoing calls.
a. To provide efficient, courteous and timely telephone services to the relevant person/ department.
b. To answer all in-coming telephone calls within five rings.
c. To convey telephone messages to concerned staff in a timely manner.
d. To transfer incoming telephone calls to the relevant person/ department promptly and efficiently.
e. To greet all visitors / customers quickly and politely on their entry to company offices.
f. To ensure timely dispatch of mail
g. To answer various preliminary queries and guide them to the concerned staff according to the visitor’s need and requirements.
h. To handle with tact, any visitor whose appointment could not be kept due to unforeseen circumstances.
i. Any other responsibilities assigned by the Line Manager.
2. Responsible for any Typing or filing and any other responsibilities assigned by the Line Manager.
