Senior Events Production Specialist (Freelancer)

To provide support to the Head of Events Production for planning, scheduling and execution of corporate events in an effective and efficient manner In line with established guidelines and policies.
KEY RESULT AREAS 
• Assisting Head of Production by Working with End User at QF (centers, clients, event sponsors and internal and external teams) on planning all aspects of event production: event approval, venue scouting and budgeting, organizers and vendor selection.
• Liaise with vendor and finalize all related events production requirements: venues allocations creates, review, and revise floor plan, budget, stage design, audio and video coverage, decorations, contractors and equipment hire, at both period install and build up the event and evacuation after event accomplished
• Liaise with PD and events team to develop and finalize all Event Production Deliverables & Execution plans on timely dispatch and delivery manner for Collaterals, PR & Media Requirements, Event's logistics likewise; caterers, ushers, car parking for each category of guest (e.g. VIP, VVIP and executives), traffic control, security, first aid, hospitality and the media.
Prepare presentation of Events Production plan including but not limited to vendor approvals.
Update the reports requested from events production unit once needed on Weekly, Monthly, Quarterly and annually bases and any report related to Service Level Agreements.
• Enhance key objectives, key message, target audience and expected outcomes for events to ensure alignment to strategic QF communication objectives.
• Assist Head of Production by reviewing all coming Scope of work from all related internal or external end users, departments and units and prepare event brief and provide inputs towards developing the event project plan.
• Liaise and coordinate between Events department, event executers/suppliers and end user for events.
Participate in cross-functional meeting for finalizing event plan, circulate to all relevant stakeholders, file and archive the finalized event project plan for implementation.
• Understand and ensure compliance to all legal and regulatory guidelines.
• Help analyze and evaluate on a qualitative/quantitative basis the effectiveness of each event based on established goals and objectives related to events production, pre event, within and post event.
Participate in monthly business plan review with team to discuss issues related to the achievement of departmental plans.
• Provide inputs to Events Production Unit Head for preparing/updating the vendor appraisal forms. File and archive all documentation related to vendor appraisals and communicate same to vendors.
• Provide Inputs to the Head of Events Production for the formulation and development of SOPs for the department including formats and policies and take ownership of the relevant processes to ensure compliance with them.
• Extend full cooperation to Business Support department during process audits, implement i and monitor corrective actions identified during audit.
